Raynix ("Raynix", "we", "our" or "us") is an AI-powered communication, operations and housing intelligence platform designed for letting agents, landlords, property operators, councils, public authorities and other organisations.
This page sets out the terms that apply to the use of Raynix services, together with information about privacy, data protection and AI-assisted communication.
The specific role of Raynix in relation to personal data may depend on the service, processing activity and contractual arrangement involved.
Eligibility & Accounts
You must be at least 18 years old to use Raynix unless a different arrangement is expressly agreed with the organisation providing or administering your access.
You are responsible for maintaining the confidentiality of your account credentials and for activities carried out through your account.
Organisations using Raynix are responsible for ensuring that they have the appropriate authority and lawful basis to provide personal information to the platform and to use that information for their intended purposes.

Raynix provides AI-driven communication, automation and operational services. Depending on the products and features enabled for an account, these may include:
AI Call Answering
Automated handling of inbound calls and enquiries.
Call Processing
Recording, transcription and summaries where enabled.
Property Operations
Property, tenancy and operational workflows.
Automation
Workflow automation, notifications and operational actions.
Analytics
Reporting and AI-assisted operational insights.
Integrations
Optional integrations with third-party systems and services.
AI Communication & Call Consent
Conversations may be handled by AI
Raynix may use artificial intelligence to answer calls, understand caller intent, ask questions, generate responses, create summaries and initiate configured operational workflows.
Depending on the configuration of the service, telephone calls may be recorded, transcribed or otherwise processed.
Organisations using Raynix are responsible for providing appropriate notices to callers and obtaining any consent required by applicable privacy, telecommunications or other laws.
Where recording or transcription is enabled, the organisation using Raynix should ensure callers receive any legally required notification before or during the call.
AI Usage & Limitations
AI-generated outputs are produced using probabilistic technologies and may occasionally contain errors, omissions or inaccuracies.
Raynix's AI features are intended to assist users and automate configured workflows. They should not be treated as a substitute for appropriate human judgement where professional, legal, financial, safety or other significant decisions are required.
Human oversight
Organisations remain responsible for reviewing and acting upon AI-generated information where human judgement is appropriate.
Data Collection & Privacy
Depending on the services and features used, Raynix may process information including:
- Account and organisation information.
- Property, tenancy and operational information.
- Caller and contact information.
- Call recordings and transcripts where enabled.
- AI-generated summaries and operational records.
- System, security and usage information.
- Information received through enabled integrations.
Personal data is processed for purposes connected with providing, securing, maintaining and improving Raynix services, fulfilling contractual obligations, complying with legal requirements and carrying out other lawful activities associated with the services.
Raynix does not sell personal data.
UK GDPR & Data Protection
Raynix is committed to handling personal data in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation ("UK GDPR") and the Data Protection Act 2018.
Depending on the relevant processing activity, Raynix may act as a data controller or as a data processor on behalf of another organisation.
Council & Public Authority Use
Where Raynix processes information on behalf of a local authority, public body or other organisation, Raynix may act as a data processor under UK GDPR.
In those circumstances, Raynix processes personal data in accordance with the applicable contractual arrangements and documented instructions of the relevant data controller.
The controller remains responsible for determining the lawful basis and purposes for the processing carried out through the service.
Data Storage & Security
Raynix applies technical and organisational measures designed to protect information against unauthorised access, loss, misuse, alteration or disclosure.
Encryption
Appropriate encryption is used to protect information during transmission and, where applicable, while stored.
Access Controls
Access to systems and information is controlled according to appropriate permissions and operational requirements.
Monitoring
Relevant system and security activities may be logged and monitored to support service security and reliability.
Raynix may use third-party infrastructure, communications, hosting, AI and other technology providers to deliver parts of the service. Where required, appropriate contractual and data protection arrangements are put in place.
No internet-based system can be guaranteed to be completely secure. Raynix therefore cannot guarantee absolute security of information.
Subscriptions & Payments
Raynix may provide its services through subscription-based pricing plans. Pricing, included usage, features and AI capabilities may vary between plans.
Unless otherwise stated in an applicable commercial agreement, subscription fees may be billed in advance.
Additional usage charges may apply where the selected plan includes usage-based services.
Refunds are handled in accordance with the applicable subscription terms, commercial agreement and mandatory consumer or other applicable legal requirements.
Acceptable Use
Users must use Raynix lawfully, responsibly and in accordance with the applicable service agreement.
You must not:
- Upload unlawful, fraudulent or unauthorised information.
- Use the service in a manner that violates applicable privacy or data protection laws.
- Attempt to compromise, disrupt or bypass platform security.
- Reverse engineer or attempt to obtain unauthorised access to the service.
- Use Raynix for unlawful or harmful activities.
Limitation of Liability
To the fullest extent permitted by applicable law, Raynix shall not be liable for indirect, incidental, special or consequential losses arising from the use of the services.
Subject to applicable law and any applicable commercial agreement, Raynix's aggregate liability arising from or relating to the services shall not exceed the fees paid by the relevant customer to Raynix during the twelve months preceding the event giving rise to the claim.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited.
Governing Law
These terms and the use of Raynix services are governed by the laws of England and Wales.
Subject to any mandatory rights or jurisdictional requirements that may apply, disputes relating to the services shall be subject to the jurisdiction of the courts of England and Wales.
